MOVE OUT INSTRUCTIONS

Thank you for your patience as we work through these unprecedented challenges and make further decisions.

The Illinois stay-at-home order has been extended through the month of May, with some modification including: Educational institutions may allow students to pick up supplies and personal belongings as long as public health guidelines are followed.

Hendrick House residents who can safely do so are encouraged to return to retrieve their belongings. If you have removed all belongings from your room and you are receiving this message, then we have not received your keys. The charge for not returning a key is $25 and the charge for not returning a fob is $50. If you do not plan to come back to campus prior to Saturday, May 16, please tape your key/s and fob to a piece of heavy cardstock or cardboard, enclose your name and room number, and mail in a sturdy envelope to:

Hendrick House

Move-Out Dates:

In an effort to control crowds and ensure social distancing, move out times have been assigned and e-mailed to residents and their families. Please park in the back parking lot and call the front desk at 217-365-8000 when you arrive so that we can let you in the back door.

Do not attempt to move out outside of your scheduled move out time. Hendrick House is currently locked and fob access is not available. If you cannot make your scheduled time to move-out, please arrange a time with Stephanie Gary to reschedule your move for a date after move-out is complete starting Monday, May 18th.

Check-Out Process:

We are attempting to make direct contact as limited as possible to keep our staff and students safe. To check out, remove all personal belongings from your room. Envelopes will be left on the desks in your room to place your key and fob in once you have completely moved everything out.

You may not stay in your room overnight and you must vacate the building once you complete your move.

Move-Out Safety Guidelines:

The following safety guidelines must be followed:

  • Limit the number of individuals helping you move to one additional person.
  • Masks that cover the mouth and nose must be worn (unless for medical purposes).
  • Please limit elevators to one family at a time.
  • Hand sanitizer stations and moving carts will be available, but you are encouraged to also bring your own.

Can’t Get Back to Campus?

If you are unable to get back to campus to retrieve your belongings, there are two options available.

  • If you wish to allow another person to retrieve your belongings, you must complete the proxy form. If you requested proxy access before the stay-at-home order, you must complete this form again.
  • If you prefer to store or ship your belongings you must complete the proxy form and then contact Storage Squad to contract for packing, storage or shipping arrangements.
  • If you are ill or immuno-compromised, please choose one of the two options listed above or contact us to make arrangements to move out at a later time. Do not return to campus.

Don’t Forget:

Pay Any Account Balances – If you have any balance on your account, we have sent you a notice for payment. You will need to pay any of your outstanding balances before you leave.

Change Your Shipping Address – Don’t forget to change your shipping address with any online services like Amazon that you use to ship packages to Hendrick House. We will not be able to hold your packages.

Donate Your Extra Stuff – If you have things you do not want to take, you can use our dump and run bins. We will have large bins (in the east laundry and in the West laundry rooms) for you to donate your stuff into. If you abandon your room or leave your belongings in the room, there may be additional charges/fees accessed to your account. Subject to the City of Urbana Landlord Tenant Ordinance, any items left at Hendrick House 30 days after Saturday, May 16th is considered abandoned. We do not offer or have storage options at Hendrick House. We can only toss or donate your items. This includes any items left in rooms, hallways, or common areas.

On behalf of the entire Hendrick House staff, it has been our pleasure housing and serving you this year. We wish you a happy and relaxing summer and thank you again for staying at Hendrick House. For those returning, we will see you in a few short months.

Sincerely,

Hendrick House Residence Hall Staff
